Office Assistant/ Front of House Role!

We are looking for an office manager to help us run our sparkling new office! This role would suit someone who wants to work a shorter day to juggle studies, childcare or other commitments. It is an office based role and approximate hours could be Mon – Fri 9am – 3pm or similar. This is a brand new role for Holland Hahn & Wills so please share!

Key Aspects of the Role:

Delivery of Excellent Client Service: Desire to deliver an outstanding client service experience with efficient operations. The successful candidate will take pride in excellent client communication and will be the first point of contact to meet and greet clients and visitors. They will be organised, pro-active and a self-starter, in regular contact with clients and visitors. They will be calm and capable, with a friendly demeanour.

Preparation of Meeting Rooms: Ability to manage and run a team diary for all the financial planners and other HHW staff. The person will be responsible for the maintenance of meeting rooms, preparation of welcome materials for clients, and organisation and delivery of refreshments for clients and visitors.

Admin & Facilities: Responsibility for placing and receiving grocery orders, stationery & printing supplies, as well as troubleshooting any IT issues together with our IT provider. Upkeep of facilities, such as liaising with our cleaner, alarm company and general facility maintenance as required. The role will require doing errands such as dealing with post office admin, dry cleaning and recycling.

Post & Telephones: Opening, scanning and ensuring post is actioned. Responsibility for answering the phone, taking and delivering messages or directing the calls accordingly.

General Office Tasks: There will also be ad hoc administrative/office tasks associated with the role, such as putting together client information packs, completing basic application forms, and organising post and paperwork and dealing with suppliers.
